Position Description:
Administrative Assistant will serve as the administrative support for the Church and will assist
the Ministry Staff and Pastoral Council in the care and oversight of the Church and its
membership. Administrative Assistant shall be responsible for and will maintain oversight of all
financial and business transactions of the Church as well as all administrative duties of the
church. The Administrative Assistant reports directly to the Lead Minister.
Duties and Responsibilities:
● Provide leadership, in a Christian manner, in areas involving Church office functions
including: the management and administration of financial and business relationships
with members, staff, congregations and the public.
● Maintain complete and accurate records of all church financial, employment and
business transactions. Assure that all financial, employment and business records and all
transaction data are correctly, accurately and timely documented and maintained.
● Work with the Servant Leader of the Finance Committee and Representatives of the
Council to annually assess internal control aspects of the Church’s accounting system.
● Document the persons authorized to sign checks for all the Church’s accounts.
● Enter all invoices submitted for payment, cut checks, submit to the appropriate Council
member for signature, and prepare for distribution.
● Balance and reconcile checking account and investment accounts and submit for review.
● Prepare quarterly reports for church.
● Process payroll on a semi-monthly basis.
● Prepare monthly, quarterly and yearly payroll tax forms and make necessary deposits
and prepare W-2s and 1099’s at year-end.
● Manage property taxes, HOA dues, insurance and repairs of church condos
● Record deposits and maintain records of individual contributions.
● Perform general office work, under the supervision of the Lead Minster, in cooperation
with the other staff.
● Perform general office work; maintain supplies and various files; keep records and
compile these into periodic or occasional reports.
● Edit and prepare weekly bulletins and other documents as requested.
● Make outgoing calls such as ordering materials or supplies; pick up supplies as needed.
● Prepare and maintain mailing lists and church roster.
● Process student background checks.
● Photocopy documents and assemble as needed.
● Prepare routine letters and documents as needed/requested.
● Keep accurate church records, (e.g. church members, prospects, calendar, etc)
● Attend Church Council, Ministry Staff and Finance Committee meetings when
appropriate.
● Commitment to confidentiality regarding all account records pertaining to the Church
staff and membership, including, but not limited to members’ personal data, Minister
and staff correspondence, appointments, salary, and payroll records pertaining to the
Church staff and membership, including, but not limited to members’ personal data,
Minister and staff correspondence, appointments, salary and payroll records.
● Demonstrate Christian faith.
Requirements:
● At least a high school diploma, some college preferred or relative experience.
● Experience with Google Suite, including Docs, Sheets, Drive.
● Must be able to deal with various types of personalities, both on the phone and in
person, in a professional manner.
● Must have general knowledge of all office equipment and supplies and a willingness to
further their training.
● Must possess good telephone and communication skills.
● Familiarity with basic accounting/bookkeeping procedures and good organizational
skills.
● Work with Pepperdine Systems: PeopleSoft, Wavenet, Security Systems.
